What You’ll Be Doing:
As an Office Assistant, you’ll play a vital role in ensuring the smooth operation of our office and providing top-notch support to our team and clients. Your key responsibilities will include:
File Management and Client Support:
- Registering new files and creating profiles for clients.
- Scanning and archiving incoming mail, new client sign-up documents, and file closure requests.
- Managing radiology requests by scanning USBs/CDs and ensuring proper documentation.
- Maintaining an organised digital archive system.
Office Setup and Maintenance:
- Setting up and packing down office areas, including kitchens, meeting rooms, and breakout spaces.
- Monitoring stock levels for kitchen supplies, stationery, and printer resources.
- Preparing client packs and ensuring the office is well-stocked.
Event and Meeting Support:
- Assisting with setup and servicing of mediations, meetings, and internal events (including catering).
- Coordinating in-house events, like our weekly Friday night drinks.
Mail and Delivery Management:
- Managing outgoing mail requests, including printing, franking, and delivery.
- Collating briefs and attending court for document retrieval or delivery when needed.
General Administrative Tasks:
- Managing catering requests and meeting room setups.
- Submitting file closure requests to the accounts team.
- Supporting other administrative and operational tasks as required.
About You:
